New Feature Request: Automatic Response to Offline Device Notifications

A user discusses a potential new feature for ControlUp – an automatic response to offline device notifications. They suggest a form that would automatically populate with device information to make it easier for the user to provide the appropriate response/action. Hello, I was working on a workflow and was curious if something was possible.

I set up a workflow for "Offline device notification" that will email a user when a registered device belonging to them is offline for 30+ days. The flow works by establishing this cutoff date (current day minus 30 days), then lists through our registered Intune devices (we pull form Intune instead of ControlUp so that we can grab mobile devices as well), then loops through these devices looking at the "Last sync date" for the device to determine if it is older than the cutoff date. Lastly there is a switch that will trigger different emails based on the OS of the device, with each email having appropriate instructions for what we would like to see the user do to get that device connected and syncing again.

A next logical step I would love to see is a response action to this notification. For example, say the mobile device has been replaced and the user acknowledges that they no longer use or need the device, we would love to automatically trigger a retirement of that device in Intune (or if that’s not possible, at least create a ticket or email or something that goes back to the support team so they can retire it manually). A form response would be a great way, and we could link to the form in the initial email that gets sent. But is there a way to bring in the identity of the device into the form? In this example I would rather not have the user have to manually type in which device they want retired. If it could bring those same device details such as the name and model into the form, that would be great. I just didn’t see a way to do that. If not, feature request 🙂. Open to other suggestions as well. Thanks


i think i understand the direction and interesting thought process to keep recovery of devices automated…so in short and to confirm – device age + 30d (or x), recover via auto email a form that populates device\user asset information along with maybe mail back instructions and\or support ticket generated for their recovery and decomm of the asset?


Correct. For this use case for example if a device shows up as inactive due to whatever "days since last contact" threshold we establish, we don’t know yet what ultimately should happen to that device. Does the user just need to be poked to power it on? If so, then the automated email notification in the workflow takes care of that.

But what if the user sees that email and says "Oh that device. I don’t use it anymore". It would be great if they could click a CU Forms link included in the message to give us their response on the action to take, for example to tell us that it can be retired. Ideally I don’t want them to have to manually specify the device they are referring to, so it would be great if some of those same details they get from the email could transfer over to the form they fill out, and then potentially carry over to other workflows (example retire Intune device serial # from original workflow).


You want to give users a workflow link that fills out certain fields for them?

IE workflows.controlup.com/someGUID?deviceID=12345

Which would then pre-enter 12345 in the deviceID field?
